SmartWaiver Integration
Smartwaiver's integration with TicketingHub cloud reservation software helps digitise the waiver process. Save time and money by automating redundant tasks
If your activities involve any element of risk — climbing walls, kayaks, zip lines, escape rooms, boat trips — signed waivers are part of daily life. Done on paper, they're also one of the slowest parts of it: clipboards at check-in, illegible handwriting, and filing cabinets you hope you never have to search. The Smartwaiver integration moves the whole process online, so guests sign before they arrive and your team starts every session on time.
What is Smartwaiver?
Smartwaiver is a digital waiver platform. You build a custom, branded waiver once, and participants can sign it from any computer, tablet, or mobile device — no printing, no scanning. For guests who turn up without signing, Smartwaiver's free kiosk apps for iPad and Android turn any tablet into a dedicated waiver signing station with one touch of the screen.
Every signed waiver and all participant information is stored in Smartwaiver's secure online database, where you can search for and find a specific waiver in seconds — a very different experience from digging through a box of paper when a question comes up months later.
Why go digital with waivers
- Faster check-in: guests arrive with the paperwork already done, so sessions start on time.
- Legible, complete records: digital forms enforce required fields — no missing dates or unreadable names.
- Instant retrieval: find any waiver in seconds instead of searching filing boxes.
- A growing database: every signed waiver adds participant information you can use to understand your audience.
How Smartwaiver works with TicketingHub
The integration connects your Smartwaiver account to TicketingHub using an API key and a webhook private key, so the two systems can talk to each other. The practical flow is simple: a guest books through your TicketingHub widget, and their booking confirmation email includes a link to your waiver with a short request such as "Before your booking, please take a moment to sign this waiver". Most guests sign on their phone within minutes of booking.
By the time the group arrives, the paperwork is already done. Check-in becomes a quick confirmation rather than a queue of clipboards, and your staff spend their time on the activity, not on admin.
There's a quieter benefit too: every completed waiver adds to your participant database. Over time, that data helps you understand who your guests are and make better decisions across marketing and operations.
Use cases
Adventure operators collecting waivers before arrival
For a kayaking trip or a high-ropes course, waiting until the start time to gather signatures eats into the session — especially with large groups. With the waiver link in the confirmation email, a group of twelve arrives with twelve signed waivers, and your guide starts the safety briefing on schedule.
Walk-ins at the front desk
Not everyone books ahead. For walk-up guests, a tablet running the Smartwaiver kiosk app becomes a self-service signing station next to your POS. Guests sign on screen while your team processes payment, and the waiver is stored and searchable immediately.
Groups, families, and school trips
Minors typically need a parent or guardian signature — which is a real problem if the parent isn't on site. Digital waivers solve this cleanly: the organiser forwards the waiver link, guardians sign from home in advance, and nobody is turned away at the door for missing paperwork.
How to activate the integration
- Step 1 — connect the accounts. In your TicketingHub dashboard, go to Settings → Integrations, find the Smartwaiver logo, and click Activate. Enter your Smartwaiver API key and your webhook private key (both available from your Smartwaiver Waiver Console), then click Save Configuration.
- Step 2 — add the waiver link to your emails. Go to Products → Emails, select the Ticket Booking Confirmation Email, click View then Edit, add your waiver request message with the link, and save your changes.
That's it — the integration is fully operational. Guests booking from that point on are invited to complete their waiver before arrival.
Frequently asked questions
Do guests need to print or scan anything?
No. Waivers are signed digitally from any computer, tablet, or phone. Guests who haven't signed in advance can sign on a tablet kiosk when they arrive.
What happens with guests who book at the last minute?
The waiver link arrives in their booking confirmation email immediately, so even a same-day booker can sign on their phone on the way to you. Anyone who slips through signs at the kiosk on arrival.
Where are signed waivers stored?
In Smartwaiver's secure online database. You can search and retrieve any waiver in seconds, which matters when you need to produce a specific document quickly.
Do I need my own Smartwaiver account?
Yes. The integration links your Smartwaiver account to TicketingHub using the API key and webhook private key from your Smartwaiver console.
Can I customise the waiver and the email message?
Yes on both counts. The waiver itself is built and branded in Smartwaiver, and the request message in your TicketingHub confirmation email is fully editable.
Which activities need waivers?
That depends on your activity type, your insurer, and local requirements — it's a question for your legal or insurance adviser. What the integration guarantees is that whatever waiver you need, it gets signed before the fun starts.
How long does setup take?
Activation is a matter of minutes: paste in two keys from your Smartwaiver console, save, and add the waiver link to your confirmation email. There's no development work and nothing to install.
